We are looking for a dedicated Admin Officer to support our daily operations and contribute to our continued success. Job Overview: The Admin Officer will be responsible for managing administrative tasks, supporting project coordination, and ensuring smooth office operations. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. Key Responsibilities: - Administrative Support: - Manage incoming calls, emails, and inquiries. - Schedule appointments and maintain calendars for team members. - Prepare and file documents, including contracts and invoices. - Customer Service: - Serve as the first point of contact for clients, providing exceptional service and support. - Assist with client communications regarding project updates and inquiries. - Project Coordination: - Support project managers with scheduling and logistics. - Track project timelines and deliverables to ensure on-time completion. - Office Management: - Maintain office supplies and equipment, ensuring everything is stocked and functional. - Organize and maintain the office space to promote a productive work environment. - Financial Administration: - Assist with invoicing, billing, and basic bookkeeping tasks. - Monitor expenses and assist in budget preparation. - Team Collaboration: - Foster a positive team atmosphere by coordinating meetings and team events. - Assist in onboarding new employees and providing necessary training. Qualifications: - High school diploma or equivalent; additional qualifications in administration or business management are a plus. - Proven experience in an administrative role, preferably in a business setting. - Strong organizational skills with the ability to manage multiple tasks simultaneously. - Excellent communication skills, both written and verbal. - Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with accounting software is a plus. - Detail-oriented with a proactive approach to problem-solving.
